We know it can be tricky and not entirely easy to understand what it all means.
That’s why at Hotell Borås, we’ve summarized what the law means so that you, as a guest,
can easily understand how we handle your personal information. Maybe not the most exciting thing you’ve read?
… but important and interesting for those of you who want to know more.
We also want to recommend that you apply for BEST WESTERN REWARDS –
our membership club for those of you who love hotel experiences as much as we do.
Please note that the text below is not our legal policy but a simplified summary description.
1. General information about GDPR
From May 25th, 2018, the new General Data Protection Regulation (GDPR) applies.
GDPR replaces the existing Personal Data Act (PUL) and applies to all EU countries.
2. Description of GDPR
GDPR has been developed to protect you as a customer and your rights
regarding the handling and dissemination of your personal data.
The idea is that you, as our guest, should feel safe knowing that your registered information is not being used in an unauthorized way.
The current Swedish PUL is actually the basis for GDPR, and most of the PUL is included in GDPR.
3. What is personal information?
Personal information is data that identifies you as a person, such as name, address, telephone, email, etc.
Non-personal information about bookings, sales, and activities is not included as these are considered trade secrets and,
in many cases, are subject to accounting and reporting obligations.
4. Who is responsible for personal data?
Hotell Borås is overall responsible for personal data and determines the purposes of the processing,
collection, and use of the personal data that you provide to us.
5. How do we store your personal data?
Our booking systems handle relatively large amounts of personal data. If you do not choose to consent to membership in our loyalty program Best Western Rewards, or do not book with us again within 12 months, your personal data will be deleted from our systems. It is important to distinguish between ordinary and sensitive personal data. Sensitive data includes, for example, ethnic origin, political opinions, religious or philosophical beliefs, membership in a trade union, as well as personal data concerning health or sexual preferences. Hotell Borås will never collect and store sensitive data, however, there are free fields in the booking engine and guest surveys that may enter our database. These data will only be available to us if you choose to fill in this information in our surveys, otherwise, Hotell Borås does not actively store it.
How it works:
Hotell Borås encourages all owners and users of our booking systems in the service not to enter notes of a sensitive nature into our systems. As a guest, you always have the right to receive a copy of all information stored about you, including information stored in free text fields in the customer register.
6. News, upgrades, and deals before anyone else via email and SMS

How it works:
Hotell Borås does not need to obtain consent from you as a guest if you book accommodation or restaurant visits since a customer agreement is entered into when a booking is made. However, if you still want deals and offers before anyone else, we hope you will become a member of Best Western Rewards.
7. What happens in the event of a Personal Data Incident?
If Hotell Borås experiences a data breach or unintentional loss of personal data, the data controller will document the incident and report it to the Swedish Data Protection Authority and affected customers within 72 hours.
How it works:
In case of a possible data breach in any part of the Hotell Borås system, we will create a report for all our customers within 72 hours.
8. What is a Registry Extract?
If you have booked a stay, a restaurant visit, or are a member of Best Western Rewards, you have the right to see the information saved about you in our booking systems.
How it works:
You who have entered into a customer agreement with Hotell Borås have the right to receive information about which personal data has been stored about you. This refers to such information that can be used to identify you as an individual. Non-personal information about bookings, sales, and activities is not included as this is considered business secrets.
9. Can you delete me from your system?
As a customer who has entered into an agreement with Hotell Borås, you have the right to have all of your personal data stored about you deleted. We think it’s unfortunate, as we would like to offer you as our friend, great offers and better service.
How it works:
If you have entered into a customer agreement with Hotell Borås, you have the right from May 25, 2018 to have all information that can be used to personally identify you removed. This refers to such information that can be used to identify you as a person. Non-personal information about bookings, sales, and activities is not included, as this is considered trade secrets and in many cases subject to accounting regulations and reporting obligations.
10. How does GDPR work in practice?
Hotell Borås has already implemented or will implement necessary features to enable administrators in our booking systems to handle all GDPR requests and requests from you (or instruct the user on how to use the features) by May 25, 2018.
• Register extract – Anyone who has entered into a customer agreement with Hotell Borås can at any time request access to the data stored. Personal data in fields, free text, and which can identify you as a guest are disclosed. Requests are made to email@example.com
• Information maintenance – To change the personal information stored about you, please contact firstname.lastname@example.org for assistance.
• Offers and email – As a member of Best Western Rewards, you will receive our offers first of all via email or SMS.
Hotell Borås also has the right to market to you to a reasonable extent within one (1) year after you, as a customer, have visited any of our hotels, restaurants, spas, or other facilities without your consent, based on the legal ground of legitimate interest.
• If you have entered into a customer agreement with Hotell Borås, you can choose to be removed from selected systems or as a whole. You should first contact email@example.com to be removed.
